General Stream HMO Coordinator – Emma Nyhof (ph 0455 718 142)

The single point of contact for all General Stream HMOs.
• Develop and Manage the allocation plan for General HMOs which includes ensuring vocational streaming needs are maximised for each sub-stream and annual leave management
• Assist in facilitating allocation swaps and special requests
• Assisting with recruitment and IMG needs
• Providing pastoral care to the General Stream HMOs
• Assist in ensuring term assessments are completed
• Assist and guide General Stream cohort on career progression

Key contacts for General HMOs

• Marilyn Hurst from the Monash Doctors recruitment team will be responsible for your contract, new starter paperwork, Fit2Work, Working with Children’s, security passes, email accounts, IT & access to mandatory training etc.
• Heather Zeckler will guide you on the AHPRA Medical Registration and VISA processes (if required). It is very important you remain vigilant for her emails and respond as quickly as possible to her requests as there are often delays with these external agencies that may delay your start dates if appropriate documentation isn’t received. Heather will set you up with a Buddy and organise an Observership (if applicable).
• I will manage your allocations into units, schedule your annual leave, help answer any general questions you have or point you in the right direction. We also have an International Medical Graduate (IMG) committee run by your fellow IMG peers which can assist in helping you settle into work life here. You can touch base with them using IMGCommittee@monashhealth.org email address. Please also request to be part of the Facebook group ‘Monash IMGs’.
• Monash Doctors Workforce Operations team, write and distribute your rosters, approve your fortnightly pays, manage sick and additional leave requests. Monashdoctors_operations@monashhealth.org

Monash Doctors Workforce (MDW) Operations is responsible for publishing rosters for interns, HMOs and some registrars. Most specialty units manage their own registrar rosters, and MDW publishes it onto the R drive for consistency. Rosters are sent to doctors 2 to 4 weeks in advance. Rosters are in Excel format. All rosters have instructions on the 1st tab. Please read this carefully as it provides nuances for the individual roster. Please also take note of the appropriate pager you should be carrying for each shift and check that you have the correct pager at the beginning of each shift.

Please inform MDW Operations whenever you are unable to work, whether it be you are unwell, or have other circumstances. MDW Operations input timecards for interns and HMOs. Failure to inform MDW Operations may result in you being paid incorrectly.

Monash Health uses the ESS platform for it’s HR function. You can use it to:

Although you are not encouraged to work beyond reasonable hours, we understand particularly during this COVID19 time, you may need to access your email or applications.  There are several ways to go about this:

Doctors Education

The Learning Curriculum outlines the learning opportunities for HMOs (General Stream), their assessment requirements and the types of learning that they can expect to experience whilst at Monash Health – HMO Curriculum 2020
All doctors should meet with their supervisor in the first week, whenever possible. This is an opportunity for you to find out more about the expectations during your rotation, as well as identify areas that you are keen to learn more about, or any aspects that you may need more support in.

Handbooks are available for all units and can be located here. You will have already been issued with a password via email.

All JMS require an assessment, that is signed by a consultant, for all rotations that are greater than 8 weeks (exceptions are for cover and night shift rotations).

IMGs must complete HMO assessments for all rotations regardless of length and ensure all assessments are signed off by a Consultant.

Assessments need to be uploaded via the portal. More information is available on the portal.

Grand Rounds: are held every Wednesday at 12.30pm, and during this COVID time, are live streamed via Webex. You will receive an email invite each week with a link.

Tutorials for HMOs: occur every month and HMOs will receive both an email and text advising them of the topic. The topics are also located on the MDE calendar.

Procedural workshops: eg ultrasounded guided cannula occur throughout the year. In this current COVID time, they are postponed.

Simulation: Monash Simulation Centre offer various courses.

Research consultations – if you are undertaking a literature search or research project you may book in for a consultation with one of our expert librarians to tailor your search strategy and for individual database training.

Training

Instructions will have been emailed to you prior to starting. EMR Training Instructions Employees.
Complete your Infection Prevention PPE training in the following order, ideally before you commence:

– Go to Latte (our learning management platform) and complete the online module ‘Infection Prevention – transmission based precautions’
– Attend a face-to-face training session.  No need to book, just show up. Details on the same page as above.
– Do 5 minute PPE (works well on smartphone or computer) quiz

You must undertake complete training as part of your orientation. All training is undertaken via LATTE/Monash Elearning with both online and in person training.

Hello Everyone & Welcome to Monash Health from Rosemary McKemmish (Wellbeing Officer):

Monash Care was established in 2014 is the Mental Health & Wellbeing Strategy to care for Monash Doctors. Its aim is to ensure that “No Monash Doctor Struggles in Silence” and Monash Health actively supports staff with identified mental illness.
Monash Care has a multi-pronged approach to support you including:

• Peer Support program (a network of our medical staff trained to support peers informally)
• The Women in Medicine Program
• Schwartz Rounds
• Monash Doctors Wellbeing Officer – Rosemary McKemmish

• Network of Chief Registrars across multiple disciplines and campuses

The important thing for you to know as new medical staff in Monash Health’s vast network is that you are not alone. We are here to help you with anything that is worrying you. We can support you if you are unwell or experiencing difficulties that are affecting your personal or professional lives.
